As a Patient Access Rep or Admitting Representative with Sentara, you will work in the Emergency Department, Patient Registration, or a doctor's office.  This position's primary duties include positively identifying the patient, collecting demographic and insurance information, and admitting the patients. This role allows you to work with both clinical and non-clinical staff.  If you desire, there are promotional opportunities into a Patient Access Rep II/III, Team Leader, and Team Coordinator.  You will find that teamwork is exceptional, with everyone working together to ensure the best care for our patients.

Required Education :High School Grad or Equivalent

Experience :Required: Customer Service - 2 years, Data Entry - 2 years

Other :Two years of customer service and/or data entry experience required. Six months of previous healthcare experience a plus. Associate's or Bachelor's degree can be considered in lieu of two years of experience.Knowledge of third party payers, ICD-9/ CPT coding and medical terminology preferred. Interpersonal skills necessary in order to successfully gather and exchange information in both oral and written communications with proper grammar, spelling and punctuation. The team coordinator for Patient Registration and/or Patient Financial Services is responsible and accountable for the daily operations of one or more areas. Supervises staff including coordinating quality and customer service activities; assisting in the development and monitoring of the department budget; coordinating the purchasing and payroll processes; serving as a technical resource to team members; and performing work assignments as needed to provide appropriate coverage and to mentor/assist staff. Responsible for interviewing, hiring, and developing staff with the goal of developing highly effective work team. Serves as chief retention officer for areas of responsibility.

Required Education :Bachelor's Level Degree - Experience in lieu of education: Yes

Equivalent experience in Registration may be considered in lieu of Bachelors degree.CHAA or CHAM certification required.

The Patient Access Team Leader is a working resource to the patient registration teams. The responsibilities include registering patients, coordinating staffing and work assignments during the shift, real-time monitoring of registration performance to ensure department standards and procedures are followed, and researching and resolving the team¿s insurance verification issues using the insurance verification tools (Change Health, Epic RTE). They serve as point-of-contact to both internal and external customers for the assigned shift and registration area and address problems at the time they occur.The Patient Access Team Leader also assists the Team Coordinator and department leadership by serving as registration system super-user, taking on-call rotation, participating in the interviewing process, preparing and reviewing reports, performing QA audits, mentoring and training staff, managing department supply levels, and participating in meetings and workgroups.

Responsible for review of the clinical information received from physicians, department queues and other clinical providers, ensuring clinical data is substantial enough to authorize services for both 1 time visit account types and recurring accounts. Analyzes clinical information to ensure the services requested are authorized according to clinical and payer protocols. Responsible for insurance verification, member benefits, obtaining authorizations and pre-registration for the services requested. Validates accuracy of insurance enrollment information in the system prior to authorizing services, making certain policy is active. Requires knowledge of managed care contracting, clinical protocols and clinical review requirements. Requires knowledge of regulatory and compliance requirements, for both government and commercial payers. Ensures appropriate and accurate information is entered into systems for processing of patient care and reimbursement. Acts as a liaison between patients, physicians, clinical department and insurance companies.

  • Demonstrated competency of working in two or more Patient Access areas required
  • One of the approved professional certifications must be obtained within 6 months of hire. CHAA, CRCR, or CRCS certification required
